Privacy notice
Open Exam Planner helps tutors and teachers organise their own teaching material and build exams from it. This notice explains what we hold about you, why, and what you can do about it. Open Exam Planner is run by Alex Hey, the data controller. Contact us at alex@alexhey.co.uk.
What we hold
- Your account: your name and email address from Google or Microsoft, your role, and when you signed in.
- What you upload: specifications, past papers and mark schemes, and what we make from them (question images, text, topics, difficulty and mark scheme answers).
- What you build: your exams, their settings, the PDFs you export, and AI-written versions of questions.
- Usage records: which AI features ran for you, how many tokens they used and what they cost. We use these to keep costs down and to set fair limits.
- Admin actions, such as approving a share request, opening an account's content for a complaint, or banning an account, are kept in an audit log with the reason.
We do not use analytics, advertising or tracking cookies.
Why we use it
- To provide the service you signed up for (contract).
- To keep it secure and affordable: sign-in sessions, daily limits and the audit log (legitimate interests).
Who can see it
- Your specifications, past papers, questions, mark schemes and exams are private to you.
- Admins see your content only when you ask to share something, or when they handle a complaint that content infringes someone's rights. Opening your content for a complaint needs a reason, which is recorded.
- What you ask to share, and an admin approves, is visible to every user. Your name is not shown.
- Anthropic (the company behind Claude) processes the text of your uploads to read specifications, cut and tag questions, and write new versions. Anthropic does not use this data to train its models.
- Google Cloud hosts the service and files, and Google Identity Platform handles sign-in. Neon hosts the database.
Where it is stored
In the United Kingdom: Google Cloud and Neon, both in London. Anthropic processes data in the United States, and its data processing terms cover transfers from the UK.
How long we keep it
Until you delete it, or delete your account. Deleting is immediate. If an account is banned, its content is kept for 30 days as evidence, then deleted. Encrypted database backups are kept for 30 days, so deleted data disappears from them within 30 days.
Cookies
__session: keeps you signed in for up to 5 days. Essential.oep_theme: remembers light or dark mode. Essential for the page you asked for.
Your rights
- Access and portability: download everything we hold about you from your account page.
- Erasure: delete your account from the same page.
- Correction and objection: edit your content in the app, or email us.
- Complaints: you can complain to the Information Commissioner's Office at ico.org.uk.
